Privacy Policy

1. Who We Are

IFTA Tracker ("iftaai.com", "we", "us") is a fleet management and IFTA fuel tax reporting platform. This policy explains how we collect, use, and protect your data when you use our website and mobile application.

2. Information We Collect

Account Information

When your company administrator creates your account, we collect your name, email address, and role (driver or admin).

Trip and Fuel Data

We collect odometer readings, fuel purchase records, trip dates, and state-by-state mileage data that you or your administrator enter. This data is used to generate IFTA quarterly tax reports.

Location Data (GPS)

When you start a trip in the mobile app, we collect your GPS coordinates to:

  • Detect which US/Canadian state or province you are driving in
  • Calculate miles driven per state for IFTA reporting
  • Provide real-time mileage tracking during active trips

Location tracking only occurs during active trips. We do not track your location when you are not on a trip. You can see your current tracking status on the dashboard at all times.

Motion Data

The mobile app uses your device's motion sensors (accelerometer) solely to detect whether your vehicle is moving or stationary. This conserves battery by pausing GPS tracking when the vehicle is stopped. We do not store motion data.

Driver Compliance Records

Company administrators may store driver license numbers, medical certificate numbers, and drug/alcohol test records. These are stored securely and only visible to authorized company administrators.

3. How We Use Your Data

  • Generate IFTA quarterly fuel tax reports
  • Calculate per-state mileage and fuel consumption
  • Track fleet compliance (license expiry, medical certificates, drug tests)
  • Provide trip history and mileage records to your company
  • Improve app performance and fix bugs

4. Data Sharing

We do not sell your personal data. We share data only in these cases:

  • Within your company — your trip and fuel data is visible to your company administrator for IFTA reporting purposes
  • Service providers — we use third-party services for hosting (Render), reverse geocoding (BigDataCloud), and crash reporting. These providers process data on our behalf under strict agreements
  • Legal requirements — if required by law, subpoena, or government audit

5. Data Retention

Trip and fuel records are retained for a minimum of 4 years to comply with IFTA audit requirements. GPS location pings are kept for 30 minutes during active trips for distance calculation, then automatically deleted. State crossing records and per-state mileage totals are retained with trip records.

When a driver or vehicle is deactivated, their historical records are preserved for compliance purposes but are no longer visible in active reports.

6. Data Security

All data is transmitted over HTTPS. Sensitive fields (license numbers, medical certificate numbers) are masked in the interface and only revealed on demand by authorized administrators. We use PostgreSQL with encrypted connections for data storage.

7. Your Rights

You or your company administrator can:

  • Access all trip, fuel, and compliance data through the dashboard
  • Export IFTA reports for any quarter
  • Request deletion of your account and associated data by contacting us
  • Revoke location permissions at any time through your device settings (this will disable GPS-based state tracking)

8. Children's Privacy

IFTA Tracker is a commercial fleet management tool. We do not knowingly collect data from anyone under 18 years of age.

9. Changes to This Policy

We may update this policy from time to time. Changes will be posted on this page with an updated effective date. Continued use of the app constitutes acceptance of the updated policy.
